Online general meetings: agenda, ballots, quorum and minutes
A general meeting isn't a survey: it has a membership roll, an agenda, a quorum and minutes, and AIM FORM treats it that way. You say in one sentence what it's about and the assistant prepares the agenda; each member gets their ballot and votes on each item from wherever they are, and the minutes come out with the count and the turnout.
What it does
- Meeting assistant
- From one sentence («meeting with accounts, budget and any other business») to the agenda, with each item as a decision to vote on.
- Notice by email
- Paste the roll and each member gets their personal ballot. The reminder goes to those who haven't voted; if the vote is secret, to the whole roll, without singling anyone out.
- Single-use ballots
- Nobody votes twice, and the vote can be secret: the organisers see how many ballots have been used, not which.
- Live turnout
- The count shows at every moment how many have voted out of the roll: the figure to check the quorum.
- Weights and proxy votes
- If some votes weigh more than others, the minutes give the count by member and by weight, and record who voted on behalf of whom.
- Verifiable minutes
- With each item's result, the turnout and a fingerprint to check nobody has altered them.
How it works
- Say in one sentence what the meeting is about: the assistant prepares the agenda.
- Paste the roll and send the notice: each member gets their ballot.
- Each item is voted on and, at the close, the minutes are ready.
Templates to start from
- Homeowners' meetingCall the meeting with its agenda, hand out one ballot per unit and get minutes with the count of each item by units and by shares.
- Association general meetingPrevious minutes, annual report, accounts and budget: each item with its result, turnout against the roll and proxy votes on record.
- Parents' association AGMCall your parents' association meeting, hand out one ballot per family and get minutes with each item's result: accounts, fee and activities.
- Co-operative general meetingApprove the accounts, decide the use of the year's result and vote on new members, with one vote per member and minutes by item.
- Board electionElect the chair and board by secret ballot, one single-use ballot per member. Voters don't see the count until voting closes, and then it's published automatically.

Frequently asked questions
Are the decisions valid?
It depends on your statutes and the rules that apply to you: check them before relying on an online vote. AIM FORM gives you the count, the turnout and the minutes; it doesn't replace what your rules say.
Can people who don't attend vote?
Yes: each member votes with their ballot from their phone or computer until the close, whether they're in the room or not.
Do members need an account?
No. They vote with their ballot from the link, without signing up.
Is it free?
Yes, with the ballots, the email notice and the minutes. The only paid option will be removing the AIM FORM badge.
