Quote acceptance

Send the link with your quote and your client accepts it, accepts it with changes or turns it down, and signs on their phone. It records who accepted it and when, with a PDF receipt for your client and another you download from their response. For building work and high-value contracts, consider a qualified signature.

Who it's for: Freelancers, builders, workshops, agencies and small businesses.

When to use it

  • You've sent a quote and want acceptance in writing.
  • You'd rather not print, sign and scan.
  • You want to know when it was accepted and whether changes were asked for.

What's inside and why

Do you accept the quote?
With a third option, “with changes”, so you don't lose the client who almost says yes.
Quote number
To know which quote each signature belongs to if you send several.

Tips to get the most out of it

  1. Put the total including VAT and the timeline in the heading, or the link to the quote PDF: it's what is accepted.
  2. Create one form per quote if each has a different text: the receipt keeps what the client saw.
  3. For high amounts, building work or long contracts, consider a qualified signature.

Frequently asked questions

What kind of signature is it?

A simple electronic signature: the typed name and, if the signer likes, a drawn signature, with the server's date and time. It's not an advanced or qualified signature; for an important contract or dealings with a public authority, use a qualified signature.

What does the signer get?

A PDF receipt with their answers, their signature, the date and time, the SHA-256 fingerprint of the record and a code to check it. You download the same receipt from each response.

What if I change the text later?

The receipt shows what the signer saw: the text of each question is saved when they respond. If you change the form later, earlier signatures don't change.
