Homeowners' meeting

Each agenda item is voted separately, with one ballot per unit so nobody votes twice. The minutes count each item by units and, if you paste the roll with its shares, by shares too, and record who voted on behalf of whom.

Who it's for: Residents' associations and owners' communities that vote item by item and need the count in writing.

When to use it

  • The meeting has several items and each needs its own result, not one mixed survey.
  • Some units weigh more than others and you want the count by units and also by shares.
  • Some owners can't attend and someone votes on their behalf: you want it recorded.

What's inside and why

Item 1, 2, 3… In favour / Against / Abstain
Each agenda item is voted separately with the usual three answers; the minutes give the result of each.
One ballot per unit
Each ballot works once, so nobody votes twice; if you paste the roll with its shares, each vote weighs what it should.
Questions and requests
An open field at the end for what doesn't fit a yes or a no.

Tips to get the most out of it

  1. Import the roll with its shares BEFORE handing out the ballots: once votes are in it can't be changed, so the count stays true.
  2. Add the date, time and place of the meeting: they appear on the form and in the minutes.
  3. Keep the minutes at the end: they hold the count of each item, the participation and who voted on behalf of whom.

Frequently asked questions

How does each unit get its vote?

With ballots: each one is a single-use code. Hand them out in person, send them by message or print their links.

What if one unit weighs more than another?

Paste the roll with one line per unit and its share. The minutes will show each item by units and by shares.

Can someone vote on behalf of another person?

Yes: when voting with their ballot they can say whom they represent, and the minutes record it.
