Who we are

AIM FORM is a service of Biomag S.L.U., Vitoria-Gasteiz (Spain). Contact: contacto@aim-form.ai. Privacy: privacidad@aim-form.ai.

The service and its price

Creating forms, surveys and votes and collecting their answers is free, with no limit on forms or answers. The only paid thing will be removing our brand from your forms and using your own domain; until it exists, nothing is charged. If we change any of this in a way that affects you, we'll give you 30 days' notice. Custom projects are contracted separately.

Fair use

To keep it free for everyone there are limits against abuse, designed not to get in the way of normal use: a whole room voting from the same wifi fits comfortably.

• 30 new forms per hour per account
• 300 answers per hour to one form from one connection (a room on one wifi)
• 50 wrong ballot codes per hour per connection
• 500 email confirmations to respondents per form per day
• 5 confirmations to the same email address per day (across all forms)
• 5 AI drafts without an account per day per connection
• 100 AI drafts without an account per day, across everyone (AI has a real cost)
• 30 team invitations per day per account
• 6 notice or reminder sends per hour per account
• 10 AI-created forms per month
• 100 AI-analysed answers per month
• 300 recipients per notice send

And size limits, so the disk never fills up: 60 questions per form; 2000 people in the roll of a ballot vote; 10 MB per uploaded file; 1024 MB of files per form.

Acceptable use

AIM FORM may not be used to ask for passwords, access codes or card details; impersonate a person, company or institution; send spam; collect special-category data (health, beliefs, religion…) or data about minors without a legal basis; spread illegal, hateful or harassing content; or distribute malware.

How we act

We automatically review every form when it's published: if it asks for data a form should almost never ask for, it stays under review until a person looks at it, and we tell you why. Anyone can report abuse from every form. If a form breaks these terms we suspend it; if it's serious or repeated, we close the account. You can ask us to review the decision at contacto@aim-form.ai.

Your content

Your forms and the answers you collect are yours. You only give us the technical permission needed to store them, show them and back them up. You can export or delete everything from your account whenever you want.

If you collect personal data: data processing agreement

When your forms collect data about people, you are the controller of that processing and Biomag S.L.U. is your processor (Article 28 GDPR). By accepting these terms you also accept this agreement:

• Subject and duration: storing, showing, analysing only if you ask, and backing up your forms' answers while you have an account.
• Data and people: whatever your forms ask, from whoever answers them, plus the member roll you upload if you use ballots or notices.
• Only on your instructions: we process that data solely to provide the service; never for our own purposes, advertising or to train models.
• Confidentiality and security: encrypted connection, passwords stored as a hash, access restricted to those who need it, and daily encrypted copies outside the host.
• Sub-processors: you authorise those listed in Your data; that list comes from the application itself. Before adding a new one we'll announce it in What's new at least 15 days in advance, save for security emergencies; if you disagree, you can export your data and leave.
• Your obligations: having a legal basis for what you ask, and informing whoever answers.
• People's rights: we give you tools to export and delete answers, and help you if you receive a request.
• Breaches: if a security breach affects your data, we'll tell you without undue delay, with the information we have.
• On termination: if you delete your account we delete everything; whatever remains in backups disappears as they rotate, within 89 days at most.
• Information: we'll provide what's needed to show we comply, on reasonable request.

Artificial intelligence

It only acts when you ask. What it sends, to whom and with what safeguards is in Your data: providers work with zero retention, keeping nothing and training on nothing. Whatever the AI writes is marked «AI-generated», plus a machine-readable mark of its origin (see Your data), and it never decides for you.

Votes and minutes

AIM FORM helps with notices, votes and minutes and makes counts verifiable. Whether a decision is valid depends on your statutes and the rules that apply to you: we don't guarantee it.

Availability and liability

We do what's reasonable for the service to work and not lose data (daily backups and monitoring), but it can fail. We're liable as the applicable law provides; not for what you publish in your forms nor for how you use the answers.

Changes and governing law

We'll announce changes to these terms 30 days in advance in What's new and, if they affect your rights, by email too. They're governed by Spanish law; if you're a consumer, you can go to the courts of your place of residence.

Replaces the private-beta version (AIM-T1). Pending legal review: if anything here were to disadvantage you against the law, the law prevails.
